Why Tracking Multiplies Passive Income
Most people know they should track their income. Almost nobody does it consistently. That gap is where passive income portfolios stall at $200 per month instead of scaling to $2,000. Once you can see which stream is growing, which is stalling, and which is consuming more cost than it returns — you stop spreading effort evenly and start compounding the winners.
What consistent tracking enables
- Performance clarity: See which stream produces the highest return on time invested
- Expense awareness: Know if your tools and subscriptions eat 10% or 40% of income
- Tax readiness: Year-end filing goes from 6 hours of scrambling to 20 minutes
- Goal accountability: A tracked goal is 3x more likely to be hit than an untracked one
- Early warning signals: Spot a declining stream in month 2, not month 8

Template 2: Advanced Portfolio Dashboard
For earners managing 5 or more income streams who want real analytics, not just totals. This template tracks ROTI (return on time invested) per stream, MoM growth, a 12-month forecast, and a full expense tracker.
Building a diversified passive income portfolio across different asset classes is only powerful if you can see which legs are load-bearing. This template shows you exactly that.
15 income stream rows with realistic data across content, products, crypto, and investments. The Dashboard auto-calculates 10 KPIs including ROTI, profit margin, MoM growth, and a 12-month forecast you control with one number per month.
KPIs tracked automatically on the Dashboard tab
- MRR — Monthly Recurring Revenue (sum of all streams latest month)
- ROTI — Total YTD divided by hours invested across all streams
- Profit Margin — Income minus Expenses divided by Income, as a percentage
- Goal Progress — YTD versus your annual target, with a gap figure
- Annual Forecast — Last month MRR times 12 as a run-rate estimate

|---|---|---|---|---|
| Basic Tracker | Starting out, 1-5 streams | Up to 5 | Beginner | ~5 min |
| Portfolio Dashboard | Multiple streams, ROTI analysis | Up to 15 | Intermediate | ~15 min |

Setup & Customization in 10 Minutes
Every template opens to a Start Here tab that walks you through each step. Here is the universal flow:
- Download and open the Excel file (works in Microsoft Excel 2016 and later, and LibreOffice Calc)
- Open the Settings or Config tab — rename income streams to match your actual sources, set your annual income goal
- Enter 3 months of historical data in the Monthly tab using only the blue input cells
- Check the Dashboard tab — your KPIs, YTD totals, and goal progress are now live
- Set a weekly reminder — 5 minutes on Monday morning to enter last week's figures
Color code key used in all templates
- Blue cells — your inputs only, never edit anything else
- Green cells — auto-calculated formulas, do not touch
- Amber cells — tips and guidance explaining what to enter
- Red cells — expenses or negative values
What breaks most tracking systems
- Editing green formula cells — breaks the dashboard, only touch blue cells
- Entering gross instead of net received — a Gumroad $100 sale nets around $91.50 after platform fees
- Skipping months — back-filling 3 months at once makes patterns invisible
- Ignoring expenses — a stream earning $400 per month with $350 in tools is a $50 stream
- Setting unrealistic goals — if you earn $500 per month now, a $60k annual goal is discouraging not motivating
Automation Tools That Work with These Templates
Once you have tracked manually for 3 months, automation can reduce the weekly update to near-zero for many streams:
- Zapier — Connects PayPal, Stripe, Gumroad, and 5,000 plus apps. A payment received triggers a new row added automatically. Setup takes around 20 minutes.
- Make (formerly Integromat) — More complex workflows at a lower price. Good for: Stripe charge, calculate net after fees, append to monthly sheet.
- IFTTT — Simpler triggers, works well for email-based income notifications piped into spreadsheet logging.
- Coinbase or Kraken CSV Export — Download monthly transaction CSV, copy the rewards column total into Monthly tab. Takes 90 seconds. No automation needed.
- Excel Power Query — Pull CSV data automatically from a watched folder. No third-party tools required.

No. All formulas are pre-built and locked inside green cells. You only type numbers into the blue input cells. The Start Here tab in every template explains exactly what to touch and what to leave alone.
LibreOffice Calc: yes, fully compatible. Google Sheets: upload via File then Import and most formulas work, but conditional formatting may need minor adjustment. Best experience is Microsoft Excel 2016 or later.
Weekly updates (5 minutes on Monday morning) produce the best results. Monthly is the minimum for meaningful insights. For crypto staking, weekly is recommended because reward values fluctuate with token prices.
Open the Settings or Config tab and change the currency symbol to yours (pound, euro, naira, etc.). All labels update automatically. For crypto, enter the local currency value at time of receipt using the token price fields in the Settings tab.
Template 1 supports 5 streams, Template 2 supports 15. For more, copy the last row in the Streams tab, paste it below, and update the Dashboard formula ranges to include the new row. Each formula is clearly labeled to make this straightforward.
Yes, with sensible precautions. These templates track income amounts, dates, and stream names — not account numbers or passwords. Enable 2-factor authentication on your Google account if using Google Sheets. Consider using code names for streams if you share the file.
